Import Events

Note: You can import calendar events only if you are in the first state of a workflow and are assigned to the appropriate content role, or if you are a Super User.

Import Events Overview

The Import functionality allows you to efficiently add new Events to your website’s Calendar by allowing you to upload multiple records for a selected Content Group at the same time. To start importing Events, click on the Import Events button which is on the right side.

  1.  Import Events lightbox
    When you click on the Import Events button, a lightbox will pop up on your screen. First, download the Import Events Template by clicking on the link in the lightbox and saving the file to your computer. The Import Events Template is in .csv format and must be re-saved in .csv format.import_events_lightbox

    Note: For best results, we recommend that you upload in batches of 500 records or fewer. The import may take several minutes to upload.

  3. Upload file
    After adding records to the Import Events template, you are ready to upload the file. Click Browse, select the file to upload from the appropriate folder and click the Open button at the bottom right of your folder screen. Clicking on the Open button starts the upload process and you will receive a progress bar showing the status of the upload. Do not close the upload window until the upload is completed.

  4. Confirm upload results
    After the file is uploaded, the lightbox will expand to list all of the records uploaded. If there is an error with any record, that record will have a red exclamation mark next to it. Records with a red exclamation mark will not be imported. Records with a yellow caution means that record will be uploaded but the field with a caution will be ignored. At this point, you may cancel the upload, fix the error(s), re-save the file and start the upload process again.

    If you have errors, you may click on the Cancel button to cancel the upload. Then you can fix the error(s) in the upload template, re-save the file and start the upload process again.

    Before saving the imported records, you must also select the appropriate Content Group for the import. If you only have one Content Group, the Default group is the only group listed.

    If you do not have any errors or want to proceed with errors, click on the green Save button at the bottom of the lightbox to import the records.
  5. Publish the new records

    After the records are imported, they will have a purple-colored icon to the left of the entry and the lock icon to the right. The purple-colored icon means that the entry is Not Published yet. In order to display the records in your Calendar, you will have to publish the records.

    To publish the imported records, go to My Tasks tab and select Awaiting My Approval from the drop down menu. You can select the records you want to publish by clicking on the checkbox to the left of Name to select all records or you can individually select the checkbox next to each record you want to publish. You can also use the (All Content Types) filter to select just Calendar records.

    After selecting the records you want to publish, click on the Approve Selected button.
