When?
This should be sent bi-weekly at minimum, or weekly if appropriate.
To whom?
- Your main point of contact(s)
- CC anyone else working with you on the project Vision
- BCC projectstatus@visioninternet.com and the permalink email on the corresponding Wrike task. To obtain this permalink, make you have a task created at the project level titled "Project Name - Project Status". This task will be your record of all project status emails for that specific project.
Naming Convention:
Project Name - Project Status - Date
Example:
Abilene, TX - Project Status - 4/16/2016
How to send?
In Outlook, you should reply to the previous project status update to maintain a thread of all updates. This thread will be maintained on the Wrike task as well.
- When sending a Project Status email, go to your sent folder, and drag and drop the email to the tasks section. This will create a new task for that email.
- When sending the next Project Status Email, double click on the task, and reply to the email you sent last.
- When sending the updated email, add this to the task list and remove the previous email to avoid confusion about which is the latest.
What type of information should be included?
- Describe the current status by pointing out where the project is in the timeline
- Outline the next steps to prepare the client for upcoming deliverables expected by both Vision and the client
- Keep the information concise to prevent overwhelming the client. Bullet points and numbering are a good way to break up the content to make it easier to read. No one wants to read an essay!

Hope everything is going well, here is a project status update.
Currently:
We have approved the wireframe, as of 5/4/2016, and we are expecting to have your initial home page design soon.
I will send over the home page design via invision App, once it is ready to be reviewed.
Next:
You will review the Initial Home Page design, and leave feedback using Invision App Collaboration tool. Once we have revised the design, and it fits your needs, we will send an approval document to approve the design and move forward to the interior design.
